Most corporate audio failures aren't equipment failures — they're planning gaps that only surface once the room fills up. A few questions solve most of them before the event date.
Room capacity vs. speaker coverage: a system sized for a 100-person cocktail hour will not cover the same room at 400-person conference capacity — bodies absorb sound. Confirm the sound design against your actual expected headcount, not the room's nameplate capacity.
Redundancy: ask directly whether backup gear is on-site or a phone call away. A single point of failure — one mixer, one wireless mic receiver — is the most common cause of a dead mic moment during a CEO's opening remarks.
The AV handoff: if you have an in-house or contracted AV team running screens and recording, confirm in writing who owns the audio feed for livestream/recording purposes, and do a joint line-check at least 60 minutes before doors open — not during setup, when it competes with vendor traffic.
Finally, confirm insurance requirements with your venue early. Many venues require a certificate of insurance from every vendor providing amplified sound; requesting it the week of the event is a common and avoidable delay.
